New Google Docs update adds review and approval system for Workspace

In the year 2019, Google started testing a review and approval system for documents, tables, and slides. Now, according to the information, the company is releasing a new update for Google Docs, and after two years of beta testing, the update brings formal document approval for Workspace users.

Once available, opening the “File” menu will display a new “Approve” option, which will open the right sidebar. Making a request involves entering a list of approvers, a custom message, and an optional expiration date, followed by a reminder.

Google developed this system to replace the workflow in documents/sheets/slides that involve manually attaching Drive documents to email or chat for approval. The entire process can be completed without leaving the secure environment of Google Workspace. The company uses this function for contracts, legal documents, and other situations that require formal approval.

The selected person will receive an email, browser, or Google Chat notification with a link to the document. By default, the document remains unlocked until it is fully approved, but the user can block edits and comments/suggestions before sending the request.

When editing, all reviewers will be notified and the latest version of the document will be reviewed again. When everyone signs it, the document is considered approved. At the same time, the file is locked and cannot be edited to ensure the integrity of your document.
